Sensory Visions Terms & Conditions

1. Definitions

In these conditions the following expressions shall be given the following meanings:

1.1 'the company' – Sensory Visions is a division of Sensory Dimensions Ltd

1.2 'the client' – any person, firm, company or organisation who approaches the company with the view to use the services offered by Sensory Dimensions or the facilities.

1.3 'the respondent' – is any person employed for discussion or consultation by either the client or Sensory Dimensions on behalf of the client.

2. Provision of Service

2.1 The company will offer their facilities at the Science and Technology Centre, Earley Gate, Whiteknights Road, Reading and at Unit 1&2 Southglade Business Park, Cowlairs, Nottingham, NG5 9RA for hire to the client.

2.2 Sensory Visions will ensure that the equipment is in working order prior to a booking but will not accept responsibility for failure of equipment during the hire period.

3. Client's Responsibility

3.1 The client will notify the company of their catering requirements and the final numbers of clients and respondents attending no later than forty-eight hours prior to the booking date.

3.2 The client will be responsible for any loss or damage that may be caused when attending the facilities at Sensory Visions.

4. Making a Booking

4.1 The client must make a booking in writing and outline any special requirements utilising the appropriate company approved booking documentation.

4.2 A provisional booking will be held for a maximum of fourteen days. If another client is interested in utilising the viewing facility for the same date then the first client will be contacted to see whether they can confirm the booking.

4.3 All quotations are valid for 30 days from the date of issue. After 30 days the company reserves the right to revise the quotation.

5. Liability

5.1 The company shall not be liable to the client for any breach of these terms and conditions or failure to perform any obligations as a result of acts of God, government act or omission whether local or national or any other similar or dissimilar cause beyond the control of the company.

6. Variation

6.1 The company reserves the right to vary the terms and the conditions of this Terms and Conditions as a direct result of any new legislation, statutory instrument, government regulation or licences and to make amendments to the Standard Terms and conditions of the said Terms and Conditions. Providing that such variation shall be limited to the extent necessary for these purposes. The company will give notification of such variations.

7. Cancellation and Postponement

7.1 Cancellation and postponement charges are based on the cost of the facility rental and are calculated as follows:




Same day



Up to 72 hrs prior to the booking date and time



4 but less than 8 days prior to the booking date and time



8 but less than 15 days prior to the booking date and time



15 days and over




7.2 Postponement charges are only applicable when re-booking takes place at the same time as postponement is notified. A re-booked date cannot be postponed a second time.

7.3 Notification of a cancellation or postponement of a booking must be in writing.

7.4 The company will not make a charge if the facilities can be resold for the same date and rate.

8. Fees

8.1 The booking fee includes:

· Room hire.

· One hostess for the duration of the booking.

· Coffee, tea, water and biscuits for the client and respondents.

· One audio and one DVD/VHS video recording of each group.

· Flip charts, VHS and audio playback.

· Stationary, reasonable use of photocopying and telephone

· Access to the facilities half an hour before and after each session for briefing/debriefing.

8.2 All catering requirements are charged accordingly.

8.3 The fridge in the client's room has a selection of drinks and confectionary and are charged as used.

8.4 Settlement within 30 days from the date of the invoice.

8.5 All prices are exclusive of VAT.

9. Data Protection

9.1 The company is registered under the Data Protection Act 1998 and any information relating to a client will remain confidential to the company and will not be shared with any third parties.
